To place an order for a patient, first click on your applicable office in the CLX Portal.


 

This will bring you to your Location Dashboard. From the Location Dashboard, you will need to select Patient Orders as shown below.

  In the Patient Search screen, you may search in any of the data fields shown on top.  

  1. In the example below, we have used the patients’ last name as the search term. 
  2. Click on Search to get a list with the search results. 
  3. Then select the patient record for the patient who you wish to view by clicking on View

 

 

4. Once you click View, it will bring you to the patient’s account as shown below.

From the patient’s account you may update, or make any changes you need to their profile. 


Key Reminder: Ensure that the patient has a phone number and an email address in CLX. Without these  two key pieces of information, CLX cannot reach out to your patients on your behalf.




 

 

 

5. Once everything is updated, click the Exams tab in CLX.

 

 

6. From exams, select Create a New exam.

 

7. Once you select Create a New exam:

  1. Select the Doctor who performed the exam.
  2. Select the date of the exam.
  3. Select whether the patient is a NEW or an EXISTING contact lens wearer.
  4. Select the Right Eye and enter the prescription.
  5. If the Rx is the same in both eyes, click the >>(double arrow) and it will copy the Rx across for the Left Eye. 
  6. If the patient is not in the same lens in each eye, select the Left Eye and enter the prescription.
  7. Select whether the patient was given trials or not.
  8. If you would like to save the exam as a record in the patient’s account, click Save as Exam Only.
  9. If the patient walks out without purchasing anything on the day of the exam and is an “Exam Only” patient, click Save Exam Only and Patient Protect. This will send an automatic text and email to the patient with an order invite. Patient Protect is a proactive approach to try to capture the patient before they go to a competitor.
    1. Please Note: This reminder is sent instantly.
  10. If you would like to place the order in office, click Save Exam and Create Order.

Once you click Save Exam and Create Order, you may proceed to placing the order.

  1. Enter the quantity you wish to order for either Rev (Revenue) or Trl (Trial). * Please note the 4 off to the left is simply telling you how many boxes come in an annual supply.
  2. Select the Ship to address. 
    1. PLEASE NOTE: All orders ship to your Office unless you select to ship to the patient’s address.
  3. Once the quantity and the shipping destination are selected, click Continue.

 

 

Once you click Continue, you may process the order

  1. Select the Supplier you are ordering from.
  2. Select the Shipping Method (Standard, Next Day etc.)
  3. If you have an Inventory of Revenue lenses in your office, select Ready for Pickup to place the order but not submit it to the supplier. This will also be reflected in your reports and ecommerce features within CLX (i.e., Reorder).
  4. If you are needing to batch your orders together before submitting the orders to qualify for free shipping with your supplier, click Save for Later and this will put the order into initial order. Initial order status is a holding place for all orders, and then you can submit all orders from here.
    • When you are ready to submit your orders in Initial Order status:
      1. Go to your Dashboard and select Initial Order
      2. Select which orders you would like to submit (or you can select Select and it will highlight all)
      3. Select Submit Orders
  5. If you do not need to batch your orders and would like to submit your order to the supplier instantly, then click Submit Order.
